Define the decision before designing the dashboard

What does the sales director need to prioritise? Which changes should the marketing team investigate? What does service management need to understand about demand, unresolved work or recurring problems?

We work backwards from those questions. Agree the reporting audience, the decisions and the measures needed to support them. This helps avoid attractive dashboards that show activity but cannot explain whether the business is making progress.

A useful report has a clear definition for each important metric. Revenue, active customers, campaign response and case resolution must not mean different things in different departments.

Connect and prepare the relevant data

Identify the systems that hold the information and the permitted way to access it. A project may draw on operational databases, Dynamics 365, other business applications or approved files, depending on the required connections and available interfaces.

Data preparation includes relationships, consistent identifiers, missing values and the structure needed for the reporting model. Joining data carelessly can multiply transactions or make a partial dataset look complete. We validate important totals against their source before accepting the report.

The goal is not to collect everything. It is to establish the data needed for the agreed questions and make its limitations visible.

Create a shared model for consistent reporting

A semantic model organises the relationships and calculations behind reports. Using common definitions helps different views answer related questions without reimplementing the same calculation each time.

We define the reporting logic with the business owners, then test it against realistic examples. Where a result depends on an assumption or incomplete coverage, the presentation should make that clear.

A campaign-response count, for example, is not the same as incremental revenue. A pipeline amount is not booked revenue. The model should preserve those distinctions rather than give every number a more persuasive label.

Give each audience the right view

Executives may need a compact performance view with exceptions and trends. Analysts need the detail to explore a change. Operational managers need information that helps them act on the work in front of them.

Power BI offers several ways to present and share information. We select the appropriate report structure and access model for the environment, including requirements for mobile use or embedding where relevant. Licensing and technical prerequisites are reviewed as part of the scope.

Public publication is not a shortcut for sharing private business data. We agree who should see a report and use the appropriate controlled distribution method.

Agree freshness and responsibility

Not every dashboard needs to update in real time, and not every source can support it. Define the required reporting frequency, the available refresh method and what happens when refresh fails.

Show the relevant reporting period and data freshness so users can interpret the result correctly. Assign ownership for the data, metric definitions and report changes. A report without ongoing responsibility becomes less reliable as systems and business processes evolve.

Connect insight with customer growth

Where useful, combine reporting with Pobuca's customer capabilities. Customer Intelligence can contribute information about engagement, loyalty, feedback or service. Economic Impact focuses the discussion on the value of customer initiatives, while Customer Insights supports the understanding of customer behaviour.

These are related but distinct offerings. A standalone Power BI project does not automatically include every Customer Intelligence module, and a licence does not remove the need to prepare and validate source data.

From first question to adopted reporting

We agree the business questions, assess the sources and produce an initial model and report. The relevant users review the definitions and test the outputs before the solution is rolled out more widely.

Handover covers the agreed administration and reporting responsibilities. Training should help users interpret and explore the information, not only learn which buttons to press. Further changes and ongoing management can be scoped separately.

Questions about Power BI services

Can we improve existing reports rather than start again?

Yes. We can assess the current model, calculations, data sources and user needs, then define the changes that would make it more useful.

Can you combine data from several systems?

That can form part of the implementation where the required access and connectors are available. We first confirm how the records relate and how their quality will be validated.

Will all dashboards be real time?

No. Refresh behaviour depends on the source, connection method, platform configuration and business requirement. We agree the appropriate approach instead of making a blanket promise.

Can different users see different information?

Access requirements are part of the design. The chosen configuration must be tested for the intended roles and distribution method, not assumed from the appearance of the report.

Does this require a Pobuca software subscription?

No. We can undertake a standalone Power BI services project. Microsoft licensing and any other technology requirements are identified in the proposal.
